Set reminders to follow up
A reminder is a dated note attached to a contact: "Send the proposal", "Ask how the pilot went". When the day comes, it shows up in your to-do views so no follow-up slips through.
Create a reminder
From the contact record
- Open the contact and go to Info → Quick actions.
- Click Create a new reminder. If the contact already has pending reminders, the button reads View reminders (n): click it, then Create a new reminder under the list.
- In New reminder, write what you need to do and pick a date (today or later).
- Click Save reminder.
From a table
In Inbox tables, the Reminder column shows a bell on each row. Hover a row without reminders to see it, or look for the number of pending reminders on the bell. Click it to open the contact's reminders and create a new one.
From the Swimlane Analysis
When the Swimlane Analysis of a contact proposes a Recommended Next Step with a date, click Get a reminder. Swimlane creates the reminder on that date, with the suggested wording, without opening a form. The button is then replaced by "You will receive a reminder".
Follow up on your reminders
The Reminders view. In the Inbox sidebar, open My Network → Reminders. It lists the contacts that have reminders, sorted by date, with four tabs:
- All: every reminder.
- To do: reminders dated today or earlier that aren't done yet.
- Future: reminders dated after today that aren't done yet.
- Done: reminders you have ticked off.
The Reminder column shows the date and text of each contact's earliest reminder in the current tab. Click a row to open the contact and act.
The dashboard. The Reminders widget lists what is due first, then what is coming. Use Mark as done or Delete directly from it. A reminder you mark as done stays visible for a day, then drops off the widget.
Complete, reopen or delete a reminder
In a contact's reminder list (from View reminders or the bell):
- Click the check mark to Mark as done. Click it again to Mark as not done.
- Click the cross to Delete reminder.
Done reminders are shown struck through.
Good to know
- Date only. A reminder has a day, not a time.
- Personal. Your reminders are visible only to you, even on contacts shared with your team.
- In the app only. Swimlane doesn't send an email or a push notification when a reminder is due. Check To do or your dashboard at the start of each day.
- It doesn't move the conversation. A due reminder doesn't bring the conversation back to the top of Messaging. Work from the Reminders view instead.
- The number next to Reminders in the sidebar counts the contacts that have at least one reminder.
- Pair reminders with pipeline stages: every card in an active stage should carry a next reminder. See Best practices: design pipeline stages for LinkedIn sales.
