Add notes and tags to a contact from the inbox
Keep what you learn in a conversation next to the conversation itself. A note records the context in your own words, and a tag groups contacts so you can find them again. You can add both without leaving the inbox.
Add a note
From an open conversation
- Open the conversation from Inbox → Messaging.
- In the right-hand panel, on the Info tab, find the Notes section.
- Type in the Add notes about this contact... field.
- Click anywhere outside the field. The note is saved when the field loses focus.
From the conversation list
- Hover a row in Messaging and click the note icon in the Notes column.
- Type your note in the Notes window.
- Click Save.
The note icon stays visible on rows that have a note, so you can spot them at a glance.
Good to know about notes
- One note per contact. It's a single free-text field, not a list of dated entries. To add something, write at the end of the existing text. Adding the date yourself helps later.
- Never sent to LinkedIn. Notes stay in Swimlane. Your contact never sees them.
- Shared with your team. Notes live on the contact, and contacts are shared in your workspace. Teammates who open the contact can read them.
- Searchable. The inbox search field also looks inside notes.
- Used by the AI. The AI draft reads your notes before proposing a reply. The ICP fit uses the first 600 characters and is recalculated after you change the note. Write facts the AI can use, such as Budget decided in Q1 or Prefers a call to a demo.
Add a tag
From an open conversation
- On the Info tab, find the Tags section.
- Click Add a tag, or + if the contact already has tags.
- In the Write a tag name... field, pick an existing tag from the suggestions, or type a new name and choose Create "…". Press Enter to add it.
- Add more tags the same way if you need to.
- Click Add.
From the conversation list
Hover a row and click + in the Tags column. Tags show as coloured dots. Hover a dot to see the tag's name.
For several contacts at once
Tick the rows in Messaging, open Bulk Actions, then choose Add tags or Remove tags.
Manage your tags
- Remove a tag from a contact: click the × next to the tag on the Info tab, or hover its dot in the list and click the ×.
- Change a tag's colour: right-click the tag on a contact and pick a colour.
- See everyone with a tag: the Tags group of the inbox sidebar has one page per tag, plus No tag for contacts that have none.
- Rename or delete a tag: click the ⋯ menu next to the tag in the sidebar. Deleting a tag removes it from every contact.
Good to know about tags
- Shared with your team. Tags are visible to everyone in your workspace, on every contact they're attached to.
- Useful in campaigns. Campaign sequences have steps that add or remove a tag, so a tag can mark who has been through a given flow.
- Tags or pipeline? Use a pipeline stage for where a deal stands and tags for traits that don't change as the deal moves forward, such as a sector, an event where you met or a partner.
