The contact record: what Swimlane keeps and how it stays up to date

Every person you exchange with on LinkedIn becomes a contact in Swimlane. You don't create them by hand: when your conversations sync, each participant gets a record, and imports add the people they find. This article explains what a record shows, where each piece of information comes from and how it is kept fresh.

Open a contact

  • Click a row in any contact table (a list, All Leads, an Inbox view such as All Members) or a card on a pipeline board. The record opens full screen.
  • When you open it from a table, the arrows at the top move to the previous or next contact of that table, with a counter such as "3 of 40".
  • Press ⌘K or Ctrl+K and type a name to jump straight to a contact. Archived contacts don't appear in this search.

What the record shows

On a computer the record has three parts. On a phone, the same content is split into the tabs Profile, Messages, Activity and Info.

Left column: the LinkedIn profile

  • Photo, name, headline and location.
  • View LinkedIn Profile, plus Send Connection Request when you aren't connected yet.
  • Followers and Connection. The second figure is your connection degree with this person (1°, 2° or 3°).
  • Company: logo, company name and job title, with a link to the company page on LinkedIn.
  • Enrich with LinkedIn, the refresh button described below.
  • Interacted, followed by how long ago your last interaction was, and Profile information (the About section) when LinkedIn provides one.

Centre: the conversation with this person. If the profile has never been synchronised, you see "This contact needs to be synchronized to use the inbox features" and an Enrich with LinkedIn button instead.

Right panel: two tabs

  • Info: Quick actions (pipeline stage, reminders, archive), Swimlane Analysis (summary, recommended next step, suggested pipeline stage, and the contact's ICP level for each campaign audience that has assessed them), Source (the lists the contact belongs to), Notes, Tags and Campaigns.
  • Activity: the timeline described further down.

How the record stays up to date

Profile fields (name, headline, photo, location, company, job title, follower count) come from LinkedIn. You can't type over them. Swimlane rewrites them each time it reads the person from LinkedIn:

  • When your conversations sync, the name, headline, photo and connection degree of each participant are updated.
  • When an import finds someone you already have, the existing record is updated instead of a copy being created.
  • When you click Enrich with LinkedIn, Swimlane queues a full profile refresh. It shows up in the Queue panel at the bottom of the navigation. The refresh rewrites the name, headline, location, photo, About section, follower count, current company and job title, and your connection status and degree.

About the refresh button:

  • Each refresh uses one slot of your daily profile scrape limit (80 a day at most, or less if you lowered it in Settings → Import & Automation Limits). Hover the button to see how many you have used today.
  • When the limit is reached, the refresh is refused until the limit resets.
  • After a click, the button stays disabled for 5 minutes and shows a countdown.

Connection degree and accepted invitations

The degree shown is yours: each teammate sees their own degree with the same person. Swimlane updates it every time it reads it from LinkedIn, for example during a profile refresh, a conversation sync, an import, or when you accept an invitation you received.

When someone you invited becomes a 1st-degree connection, Swimlane records the date the invitation was accepted. The date isn't displayed as a field on the record. It adds a connection entry to the Activity timeline, counts as an accepted invitation for the campaign that sent it, and appears in the team digest email.

The Activity timeline

The Activity tab lists your latest interactions with this person, newest first (the ten most recent entries):

  • Profile visits ("…visited your profile"), recorded when Swimlane imports your profile visitors. At most one entry per person every 30 days.
  • Conversations ("Conversation with …"), one entry per day on which messages were exchanged.
  • New connections, when the person becomes a 1st-degree connection.
  • Link clicks ("…clicked your link"), with the address, when they click a tracked link you sent them.

If nothing has been recorded yet, the tab says "We didn't find activity (yet)."

What is shared with your team

  • Shared with your whole workspace: the contact and its profile data, Notes, Tags, lists and the archived state.
  • Personal to you: your connection degree, the Activity timeline, the Swimlane Analysis, your reminders and your pipelines.

What the record does not do

  • It doesn't let you edit profile fields by hand. Refresh them with Enrich with LinkedIn.
  • It has no delete button. See Add, edit and archive contacts.
  • It doesn't show the person's LinkedIn posts.
