Tell Swimlane about your business: AI context, ideal customer and tone of voice

Swimlane's AI features give better results when they know who you are, what you sell, who you want to reach and how you write. You provide the first three through a short questionnaire and four editable fields. Your tone of voice is learned automatically from your messages.

The four context fields

They live in Settings → Personalization, one tab each:

  • About yourself: your role, what drives you, how you like to work.
  • About your business: your company, what you sell, your business model and positioning.
  • Your ideal customer: who you want to reach, and who you don't.
  • How you help: how you help your customers and what makes your offer unique.

Where Swimlane uses them

  • The AI reply drafted in a conversation and the first-message suggestion for a new contact.
  • The AI analysis of a contact: summary, recommended next step and suggested pipeline stage.
  • AI message templates.
  • The scoring of People Search results before you choose who to import.
  • Your ideal customer is also the starting point of a campaign's ideal customer profile: when you turn on ICP match in a campaign's Audience step and its description is still empty, Swimlane fills it with this text. You can then adjust it for that campaign.

The "Let's get to know you" questionnaire

It opens by itself a few seconds after you enter the app, as long as one of the four fields is empty. It appears once per session and must be completed before it can be closed.

  1. Click Let's go.
  2. Answer each question by ticking one or several options, then click Next. Questions are prepared from your LinkedIn headline and About section. The first one asks what you sell, and you can pick several offers. Later questions dig into who each offer is for, the value it brings, and the clients you don't want.
  3. If no option fits, pick Other and type your own answer. Swimlane gives typed answers extra weight.
  4. After at most 9 questions, Swimlane writes the four fields and shows All set!. Click Done.

The confirmation mentions "Settings > Brain": the fields are in Settings → Personalization.

Edit the fields yourself

  1. Open Settings → Personalization.
  2. Click a tab, edit the text, then click Save.
  3. To start over from the questionnaire, click Answer a few questions at the top of the page. It rewrites all four fields, including text you wrote by hand.

Tone of voice: learned, not configured

There is nothing to fill in. Swimlane builds a writing-style profile from the messages you write and send yourself from its inbox:

  • Only messages with real text count: more than 7 characters once links and emojis are removed. An AI suggestion sent without any edit is ignored, so the profile stays yours.
  • The first profile is built after 4 such messages, refreshed after 6 more, then after every 12, always from your 50 most recent messages.
  • It describes tone and formality, sentence length, greetings and sign-offs, recurring expressions and emoji use. It is built to leave out the names of people, companies and places you wrote about.
  • AI replies, first-message suggestions and AI templates follow it.

The profile is not visible or editable in the app. To shape it, write your own messages in Swimlane rather than sending suggestions untouched.

Best practices

  • Write your ideal customer as a short paragraph, with exclusions. For example: "Founders and sales leaders at B2B software companies with 10 to 200 employees, based in France or Belgium, who sell to other businesses. Not agencies, freelancers, recruiters or students."
  • Be concrete in How you help. "We cut the time sales teams spend on manual LinkedIn follow-ups by centralising conversations and automating reminders" helps more than "we boost growth".
  • List every offer in About your business if you sell several things, and say who each one is for.
  • Update the fields when your offer changes. New drafts and analyses use the current text.

Troubleshooting

  • The questionnaire shows "Something went wrong". Click Retry. Your answers so far are kept. Swimlane needs to read your LinkedIn profile to prepare questions, so make sure your LinkedIn account is connected.
  • The questionnaire keeps coming back. One of the four fields is empty. Fill it in Settings → Personalization and click Save.
