Set a reminder on a conversation
A reminder makes sure a conversation comes back to you on the day you choose, whether it's a follow-up, a promise to send something or a call to confirm. Set it while the conversation is fresh in your mind.
Set a reminder from an open conversation
- Open the conversation from Inbox → Messaging.
- In the right-hand panel, on the Info tab, look at Quick actions.
- Click Create a new reminder. If you already have pending reminders for this contact, the button reads View reminders followed by their number: click it, then click Create a new reminder in the window that opens.
- In the New reminder window, write what you need to do, for example Send the case study or Ask if the budget is approved.
- Click Pick a date and choose the day.
- Click Save reminder.
Other ways to set one
- From the conversation list: hover a row in Messaging and click the bell icon in the Reminder column. The Reminders window lists the contact's reminders. Click Create a new reminder.
- From the AI analysis: in Swimlane Analysis, click Get a reminder under the recommended next step. The reminder is created straight away on the suggested date (see Understand the AI contact analysis).
Where reminders come back
- Inbox → My Network → Reminders. Every contact with a reminder, sorted by date. The Reminder column shows the earliest date and what to do. Use the tabs to filter:
- All: every reminder
- To do: due today or earlier, and not done yet
- Future: planned after today
- Done: reminders you have ticked off
- The dashboard. The Reminders section lists what's left to do: overdue reminders in red first, then upcoming ones. Reminders you completed stay visible, crossed out, for 24 hours. Click a reminder to open the contact, or hover it to Mark as done or Delete.
- The conversation list. In Messaging and the other inbox pages, the bell icon shows how many pending reminders a contact has.
- The contact. Quick actions shows View reminders with the number of pending reminders.
Complete or delete a reminder
Open the Reminders window (bell icon in the list, or View reminders in Quick actions):
- click the check icon to mark a reminder as done. Click it again to mark it as not done.
- click the × icon to delete it.
On the dashboard, hover the reminder and choose Mark as done or Delete.
Good to know
- A date, not a time. Reminders are set for a day. You can pick today or a later date, not a past one.
- No email or push notification. A reminder doesn't send you anything. It shows up in the places listed above, so make the Reminders page or the dashboard part of your routine (see Best practices: keeping your inbox under control every day).
- Reminders can't be edited. To change the date or the text, delete the reminder and create a new one.
- Reminders are personal. Teammates don't see yours, even on a shared contact.
- Completed reminders disappear from the contact's Reminders window after a day, but remain under the Done tab of the Reminders page.
- They help the AI. Your pending reminders on a contact are passed to the AI draft as your goals, so its suggested reply moves in the same direction.
- Archived contacts keep their reminders. They still appear on the Reminders page.
