Organise contacts with tags

Tags are free labels you stick on contacts: an industry, the event where you met, "Replied", "Partner". A contact can carry as many tags as you like, and tags are shared with your whole workspace.

Add a tag to a contact

  1. Open the contact and find Tags in the Info tab.
  2. Click Add a tag (or + when the contact already has tags).
  3. Type a name. Pick an existing tag from the suggestions, or choose Create "…" to create a new one. You can add several tags before confirming.
  4. Click Add.

To remove a tag from a contact, click the × on it.

You can also tag without opening the contact:

  • In list tables, hover the Tags cell of a row and click +. Each tag shows with its colour and an × to remove it.
  • In Inbox views, tags appear as coloured dots in the Tags column. Hover a dot to see the tag name and remove it; click + to add one.

Tag many contacts at once

  1. Tick the contacts in any contact table (the header checkbox selects every contact shown).
  2. Open Bulk Actions and choose Add tags.
  3. Pick or create the tags, then click Assign. Tags the contacts already carry are kept.

Remove tags works the same way, but only accepts existing tags. Confirm with Remove.

Browse contacts by tag

The Inbox sidebar has a Tags group:

  • No tag lists every contact that isn't archived and has no tag yet. It's a handy to-do list after an import.
  • Below it, each tag opens the contacts that carry it, with the usual search, bulk actions and Export CSV.

Rename, recolour or delete a tag

In the Inbox sidebar, hover a tag and click …:

  • Rename opens Rename tag. Type the new name and click Rename. Every contact carrying the tag shows the new name.
  • The colour grid at the bottom of the menu changes the tag's colour. New tags get a random colour. You can also right-click a tag on a contact to change its colour.
  • Delete asks for confirmation: "This tag will be permanently removed from all contacts."

Where tags are used

  • List filters: Has a tag narrows a list to one or several tags (see Filter a list and save the view).
  • Campaign audiences: the Tags (all required) filter keeps only contacts carrying every selected tag.
  • Campaign steps: Add tag and Remove tag label contacts as they go through a sequence. A tag that doesn't exist yet is created automatically.

Good to know

  • A tag only exists while at least one contact carries it. Remove it from its last contact and it disappears from the sidebar and from the suggestions.
  • Tags are shared: a tag you create is visible to your teammates, and renaming or deleting it affects their contacts too.
  • Agree on a short naming convention with your team before tags multiply. See Best practices: lists, tags or pipelines — which to use for what.
