How Swimlane learns your writing style

Swimlane's AI suggestions are meant to sound like you, not like a generic assistant. To get there, Swimlane learns your tone of voice from the messages you actually write. There is nothing to configure, but knowing how it works helps you get better suggestions.

Where your style is used

Your writing style is added to the instructions of:

  • the AI draft that proposes a reply in a conversation (see Write faster with the AI draft)
  • the icebreaker suggested for a first message (see Start a conversation with an AI icebreaker)
  • AI message templates (see Create and use message templates)

What Swimlane learns from

Swimlane keeps a copy of the messages you type yourself in the inbox: replies in a conversation and first messages to a contact.

Some messages are left out:

  • Very short messages. Once links and emojis are removed, a message needs more than 7 characters of text to count. OK 👍 or a link on its own teaches nothing about how you write.
  • AI suggestions sent unchanged. If you accept a draft or an icebreaker and send it without editing it, it isn't used. Otherwise Swimlane would be learning from itself. Changing only capital letters or spacing doesn't count as an edit.
  • Automated messages. Campaign steps and messages sent to a whole pipeline column are not used.

When your style is analysed

The analysis runs in the background once enough new messages have built up:

  • the first time after 4 messages
  • then after 6 more messages
  • then every 12 new messages

Each analysis reads your 50 most recent saved messages, so your style keeps up with the way you write today.

What the analysis produces

A short style guide, under 180 words, written in the language you write in. It describes, when your messages show it:

  • your overall tone and level of formality, including tu or vous in French
  • the usual length and structure of your sentences, and your punctuation habits
  • the greetings and sign-offs you prefer
  • the words and expressions you use often
  • how you use emojis, if at all

The guide describes how you write, never who or what you wrote about. It leaves out the names of people, companies, products and places, so a detail from one conversation can't end up in a message to someone else.

What you can and can't do

  • You can't view or edit your style in the app, and there is no setting to type it in by hand.
  • You shape it by writing. The more messages you write or rework yourself, the closer the suggestions get. When a draft doesn't sound like you, rewrite it before sending: your version is what Swimlane learns from.
  • Until your first analysis, suggestions have no personal style to follow. Replies still match the tone of the conversation.

Your context is a separate setting

Your style says how to write. Your context says who you are and what you want. You fill it in under Settings → Personalization:

  1. Open Settings at the bottom of the main navigation, then Personalization.
  2. Fill in the tabs About yourself, About your business, Your ideal customer and How you help, or click Answer a few questions to fill them in with a short questionnaire.
  3. Click Save.

Drafts, icebreakers, AI templates and the contact analysis all use this context.
