Create and manage lists

A list groups contacts you want to work on together: the result of an import, a target segment, the audience of a campaign. Lists are shared with everyone in your workspace. This article shows how to create, open, rename and delete lists, and how contacts move between them.

The Lists page

Open Lists in the main navigation. The Lead Lists page shows:

  • A usage bar with Daily imports (contacts imported today out of your daily limit), LinkedIn Profile Syncs (profile scrapes used today), Total lists, and a countdown when one of these limits is full.
  • A first row, All Leads, which opens every contact in your workspace, whether or not they belong to a list.
  • One row per list, with its Owner (who created it), Members, Source (how it was filled), Duplicates (members who also belong to another list), Date and Status. Lists fed by a recurring import carry a recurring badge.
  • A status filter and a Search by name field at the top right.

Create a list

Lists are usually created by an import: New Import fills an existing list or creates a new one. A CSV import, for example, creates the list you name in List name (see Add, edit and archive contacts).

You can also create a list from the list picker used to move contacts:

  1. In any contact table, tick the contacts you want in the new list.
  2. Open Bulk Actions and choose Move to list.
  3. Open the picker and choose Create New List.
  4. Enter a Name and, if you like, a Description, then click Create.
  5. Pick the new list in the picker and click Move.

Read the warning about Move to list below before step 5: the selected contacts leave their other lists.

Open, rename or delete a list

  • Open: click the list's row. The sidebar shows its name and description, Saved views, a search field and Filters (see Filter a list and save the view). The last column of the table, Other list(s), shows the other lists each contact belongs to. In All Leads, the same column is called List(s).
  • Rename or describe: click the ⋮ menu at the end of the row, choose Edit, change the Name or Description, then click Save.
  • Delete: ⋮ menu → Delete. The list is removed straight away, without a confirmation step. Its contacts stay in your workspace (still visible in All Leads and in their other lists), and any recurring import feeding the list is stopped.

A contact in several lists

A contact can belong to several lists. This happens naturally: when an import finds someone who is already in your workspace, it adds its list to the ones they already belong to instead of moving them. The Source section of the contact record shows every list the contact is in, each with a link.

Move contacts between lists

In a list, or in any contact table, tick the checkboxes (the checkbox in the header selects every contact currently shown), then open Bulk Actions (n):

  • Move to list puts the selected contacts in the list you pick and removes them from all their other lists. The app has no "also add to this list" action, so use it only when you really want to move people.
  • The other actions (Archive, Assign to pipeline stage, Enrich with LinkedIn, Send connection request, Add tags, Remove tags, Deduplicate) are described in Act on many contacts at once with bulk actions.

Good to know

  • Lists are shared with every member of your workspace.
  • Members doesn't count archived contacts, but archived contacts still appear inside the list's table.
  • Removing a contact from a single list isn't possible in the app. The public API can add a contact to a list, or remove it from one, without touching the others (see Swimlane public API reference).
  • A campaign audience can start from a list. Contacts added to that list after launch are enrolled as they arrive.
  • If you want to label contacts without changing their lists, use tags. See Best practices: lists, tags or pipelines — which to use for what.
