Archive and restore conversations

Archive the conversations you're done with so your inbox only shows the people who still matter. Archiving is reversible, and nothing is deleted.

Archive a conversation

  1. Open the conversation from Inbox → Messaging.
  2. In the right-hand panel, on the Info tab, go to Quick actions.
  3. Click Archive.

The contact window closes and the conversation leaves Messaging. You'll find it under Inbox → Conversations → Archived.

Archive several conversations at once

  1. In Messaging, tick the conversations you want to archive.
  2. Open Bulk Actions and choose Archive.
  3. Confirm with Continue.

Restore a conversation

  1. Go to Inbox → Conversations → Archived.
  2. Click the conversation to open it.
  3. In Quick actions, click Unarchive.

The conversation returns to Messaging, in its usual place by date.

What archiving really does

In Swimlane, you archive the contact, not only the thread. As a result:

  • The contact is hidden from Messaging, All Members, Relations, Contacts, the Sent invitations page and the No tag page.
  • It applies to your whole workspace. Contacts are shared, so an archived contact is archived for your teammates too.
  • Campaigns pause for this contact. If they're in a running sequence, it stops where it was and picks up from the same step when you unarchive them. Archived contacts aren't enrolled in new campaigns either.
  • Nothing is lost. Messages, notes, tags, pipeline stage and reminders stay intact. Reminders still show on the Reminders page.
  • Nothing changes on LinkedIn. The conversation isn't archived or deleted in your LinkedIn messaging.

What archiving does not do

  • A new message doesn't bring the conversation back. If an archived contact writes to you again, the conversation stays under Archived. Check that page from time to time, or unarchive contacts as soon as an exchange starts again.
  • The unread badge still counts it. The number next to Messaging includes unread conversations with archived contacts. If the badge shows a number you can't find in Messaging, look under Archived.
  • It doesn't delete the contact. There's no way to delete a contact from the inbox. Archiving is how you put someone aside.

When to archive

  • The person said no, clearly, and you don't plan to follow up.
  • The conversation was never about business, such as a recruiter, a supplier or a friend.
  • A deal is closed and you don't want the person to show up in your daily inbox review. If you use pipelines, marking the stage as done or abandoned is a good complement.
  • Someone in a campaign asked you to stop. Archiving stops every sequence from sending them anything more.

Don't archive a conversation just because it's waiting on the other person. Leave it under Last message by me and set a reminder instead (see Set a reminder on a conversation).
